Title

Physical object record contents. This is used for textiles, tools or gadgets.
The title field contains a name that can be used to refer to the item described by the record. It is not always possible to give unique names to objects (there are only so many ways you can refer to a scarf!)

Alternative Title

Some objects have alternative names that are placed in this field.

Description

A brief description of the item. This is only a sentence or two and appears in lists of objects. It is used to help distinguish between items.

Identifier

Identifier(s) assigned to the item being described. There should be only one item in the Collection with that identifier, but mistakes happen.

Textiles have identifiers that are the "accession number" of the form:

yyyy.ddd.nnnn where yyyy is the year the item was acquired, ddd is a number representing the donor and nnnn is a sequence number.

Subject

--- This is a broad category (such as hand knitting). It uses a fixed vocabulary to help searching.

Type

-- Type of garment or item, techniques exemplified by the item. This uses a fixed vocabulary to help searching.

Format

Abstract

An extended description of the object. It may run to several paragraphs and contain links to other items or websites.

Where an item contains many parts they can be listed here.

For an accession that consists of multiple parts (such as a layette), the parts would be listed here, including their accession sub-numbers (eg 1971.012.005A, 1971.012.005B). In this case, each of the accession numbers would be included as Identifier fields as well as the base identifier (without the final letter).

Date Created

This is the (best estimate) date for the creation of the item or the publication date for published materials.

Creator

The author(s) of a book, maker(s) of a crafted item, etc.

Publisher

This might be a manufacturer or retail outlet from which the item originated. Equivalent to the publisher of a book.

Date Submitted

This is the date the item was received from the potential donor.

Date Accepted

Date the item was accepted into the Collection.

Relation

Information about other items that are related to this one (such as other objects made from the same pattern).

Provenance

Records the route by which the item reached the Guild. For example: In 1963 John Smith was given this by her mother Jane Smith who is believed to have made the original item.

Medium

--- Materials used in the construction of the item (such as type of yarn, fastenings). This uses a fixed vocabulary to help searching.

Extent

The actual physical size of the item being described.

Access Rights

Not usually used for textiles, tools or gadgets.

Rights

Records any limitations placed on the Guild for using the object.

Is Referenced By

Provides information on where the item has been used, for example at exhibitions or in TV programmes.

References

Other items that were used to form the object. Examples are links to the pattern or yarn used to make the object.

Date

Significant date(s) in the life of the object. The date should be accompanied by a note saying what it refers to.

Contributor

People or organisations that contributed to making the object. This might include the names of those contributing squares to a blanket, for example.

Language

If the object contains text that is not English that may be recorded in this field.

Coverage

Country of origin of the object.

Date Available

Time period when the object was generally available.

Date Copyrighted

Most likely to be used for tools or gadgets as the date the object was patented.

Date Issued

Formal release date of the object if relevant (such as the launch date of a tool).

License

This does not apply to physical objects.

Conforms To

Not used for textiles, tools or gadgets.

This field is not relevant for textiles, tools or gadgets. Similar objects made from different materials or in different sizes will be recorded in the "Relation" filed.
